Overview

Art of Living conducts meditation programs, spiritual gatherings, and humanitarian initiatives globally. Managing high-footfall events across distributed counters required controlled bookings, service validations, and real-time attendance reporting.

The Challenge

Digital registration without entry enforcement led to operational bottlenecks:

  • Slot Capacity Issues: Participants selected slots, but there was no binding verification check at physical check-ins.
  • Distributed Entry Counters: Multiple checkpoints (Satsang, Bus, Meditation, Prasadam) had no unified real-time database.
  • Duplicate Scans: Ticket reuse or cross-service access was difficult to prevent in high-volume environments.

The Solution

Synexc implemented a controlled booking-to-validation architecture using Zoho applications:

1. Registration Slot Limits

Configured Zoho Forms to dynamically restrict registrations based on predefined capacities for each service and time slot.

2. Zoho CRM Central Registry

Built a centralized participant schema inside Zoho CRM to store service options, slot allocations, and attendance statuses.

3. Service-Bound QR Credentials

Used Zoho Creator to generate unique QR codes mapped to participant CRM records. These QRs contain secure service codes and slot timestamps.

4. Unified Distributed Check-in Scan Logic

Developed scanning interfaces in Zoho Creator for each service counter. When scanned, the system verifies slot eligibility, logs entry time, updates the CRM status, and flags duplicate scan attempts immediately.

5. Real-Time Sheets Sync

Pushed check-in updates instantly to Google Sheets, providing organizers with live dashboards of active attendance across all locations.

Results & Impact
